Privacy notice
This notice explains what Haywood Brookes, who power this tool, does with information provided through our free vehicle condition check sheet.
Using the tool without giving us anything
You can complete a vehicle condition check and download your PDF report without creating an account and without giving us your email address. While you are filling the form in, the details you type stay in your own browser. We do not receive or store the contents of your report.
What we collect, and when
We only receive personal information if you choose "Email me a copy". In that case we collect the name, work email address, company name and fleet size band you enter, the vehicle registration shown on the report so we can label the email, and basic technical information about the request: a one-way hashed version of your IP address and your browser's user agent string.
We also record anonymous counts of how far people get through the tool (for example "report generated"). These counts are not linked to you or to any personal information.
Why we collect it
The details you enter are used to send you the report you asked for and, where appropriate, to contact you about the fleet, hire and driver-onboarding systems we build. The hashed IP address and user agent are used to prevent spam and abuse of the form.
Asking us to email your report is not the same as subscribing to marketing. You can ask us to stop contacting you at any time and we will.
How it is handled
Submissions are transmitted over an encrypted connection and stored in our own database, which is not publicly readable. Access is limited to authorised staff at Haywood Brookes. We do not sell your information or share it with third parties for their own marketing.
Your completed report is generated in your browser. If you ask us to email it, a copy passes through our email provider in order to be delivered to you.
How long we keep it
We keep enquiry details for as long as we may reasonably need them for the business relationship, and we remove them on request. If you would like your details deleted, email us and we will action it.
Your rights
You can ask us for a copy of the information we hold about you, ask us to correct it, ask us to delete it, or object to us using it to contact you. To make any of these requests, or to raise a concern about how we handle your information, email haywoodbrookes@hotmail.com.
